How do people find out about system issues or changes to business processes?

We use a combination of email, Web-based content, and presentations or meetings to convey information about the University's Enterprise Financial System (EFS), the business processes, data, reports, deadlines, and so forth.

An email listserv is most frequently used to communicate about the Enterprise Financial System (PeopleSoft Financials).

When there is a need to communicate major system issues or major policy changes, all those with access to the system will be emailed, irrespective of whether they are a subscriber to the listserv. We will use the access profiles in PeopleSoft Financials to identify who should receive these communications.

For very specific issues, we will send targeted communications to those with applicable access to the system. For example, if there is a system issue with clicking on the button to apply approvals, we will communicate to those with approval access. (This change to more targeted communications is based on feedback from the University community.) We will use the access profiles in PeopleSoft Financials to identify who should receive these communications.

All communications will be posted on the Controller’s Office Web site http://www.finsys.umn.edu for those interested parties who may not have received the email version. We encourage all with access to EFS or who play a part in the financial management of a project or program to regularly visit this Web site.
